The President, Sergio Sosa, called the meeting to order at 7:50 p.m. Introductions were made and several new members were welcomed to the meeting.
Before discussing new events, Sergio acknowledged the heated discussions currently being held on the Yahoo Groups regarding what defines a “sanctioned” and “non-sanctioned event.” Sergio stated that a “sanctioned” event is an event that represents the HLRC, is listed on the official HLRC website and is announced at a meeting. A sanctioned event has a host and is voted on by the Board of Directors. After the event, the host submits a report.
Steve McDonald, the Vice President, explained that the Board of Directors met in August, 2006, to discuss, and hopefully resolve, the issue of “sanctioned” and “non-sanctioned”events. The Board of Directors voted on the following: (1) a “non-sanctioned” event could be listed on the calendar, along with information on who to contact for more information about the event. There would be no sign up sheet for the “non-sanctioned” event on the calendar; (2) if someone wants to propose an event for the HLRC, he/she can put the idea for the event on Yahoo Groups to verify that there is enough interest in the event. If there is enough interest, the person can check with the events coordinator to make sure the event does not conflict with another scheduled event; and (3) two events may be scheduled for the same day, as long as the two events do not conflict with each other as far as time.
Sergio reminded the members that the HLRC voted to allow members who participated in at least two events (for example, trash pickup, dealer events and specific Gilmer events) would be eligible to win additional gifts at the AGM. This is why the HLRC needs to define “sanctioned” and “non-sanctioned”events.
The members debated the issues and after several good points were made, and in order to discuss upcoming events, Steve recommended that if any member has additional comments, please direct them to him or Sergio, so that the comments could be discussed at the next Board of Directors meeting.
Upcoming events:
Trash pickup is scheduled for September 10, 2006 , at 8:30 a.m. Meet at the Walgreens parking lot at the corner of 529 and Fry Road .
Movie night – there is a new poll on the Yahoo Groups asking people to vote for the movie they want to see. Movie night is scheduled for September 23, 2006 , at the Renaissance hotel.
Doug Aitken has organized a rally which is scheduled for October 15, 2006 .
A trip to Barnwell Mountain for a trail clearing is in the works, but the date still has not been finalized. It will be scheduled for either October 7 th or October 21, 2006 .
Sergio announced that if members are interested in running for office, they need to let him know as soon as possible so that the Secretary can complete the ballots with all candidates. The AGM is scheduled for November 10, 2006 . The Board of Directors is elected at the AGM. People who have shown an interest in running are -- Steve McDonald for President, Bill Mallin for Vice President, Barbara Howell for Membership Secretary, Lance Sloan for Treasurer and Andy Warner as Web Designer.
